Being available to answer questions or further negotiate a deal allows your clients to feel secure and more apt to purchase from you. But what if you can’t answer the phone when they call? Make sure you have a voicemail system set up so your clients have the opportunity to leave you a message.

Reassuring the caller that they contacted the correct number or reached the person they intended helps reduce the number of hang-ups and wasted messages you’ll receive. Here are a few notes on how to leave the best greeting possible, along with some voicemail message examples you can use in your own company!

Notes on creating a voicemail greeting:

Sound upbeat in your message. When recording, be sure to say your message with a smile on your face. It’s obvious when people aren’t happy in their message. Since your work revolves around keeping happy customers, do your part by keeping a happy-sounding voicemail message.

Don’t rush. It’s important to speak slowly and clearly when leaving your next voicemail greeting. Have you ever called someone and the message sounds like one big word? Don’t be that guy. Pronounce your words and take pauses between your sentences

Avoid background noise. Whether you have music playing in your office, or you’re sitting in a coffee shop, background noise can make it difficult for your customers to understand your greeting. Limit the noise around you when you leave your voicemail greeting.

Rehearse or write down your message before recording it. Remember that old saying “practice makes perfect?” It’s certainly true when it comes to creating an electronic greeting. The more you’ve rehearsed, the easier the message will be to restate. If you don’t have time to practice, writing down the greeting before recording it – and then reading it aloud from the paper – may help you stay focused on the correct wording.

Basic Voicemail Message Examples:

1. Share basic information:

“Hello! You’ve reached the voicemail of [your name], [your job title]. I’m currently either away from my desk or on the other line. Please leave your name, telephone number, and a short message after the beep, and I’ll be sure to get back to you as soon as I’m available.”

2. If you’re out of the office:

“Good afternoon. You have reached the office of [your name]. I will be out of the office beginning on [date] and will be returning on [date]. Please leave a brief message with your contact information, and I’ll be sure to get back to you as soon as I return on [date].  If this is an emergency or you need to speak with someone before I return, please contact [name of colleague/supervisor], [their job title], at [their phone number].”

3. Be courteous of your customers’ time:

“Hi! You have reached [your business].  All of our staff are currently busy helping other callers. We understand how valuable your time is, and rather than keeping you on hold, we will make sure to call you back.Be sure to leave us a detailed message with your name and number. We will return your call within two business hours. Thanks!”


Creative Voicemail Message Examples:

Here are a few voicemail message examples you can record if you have the opportunity to leave a professional sounding message, while still having a bit of fun. Before choosing one of these options, be sure your company allows for a little creativity. If you work in a strict professional position, theses options might not be the best for you.

4. Give them a realistic expectation:

“Congratulations! You’ve reached the right person! It’s [your name]. Unfortunately, you’ve called at the wrong time. Please leave a message with all your contact information, and I’ll call you back within 24 hours.”

5. Catch their attention:

“Hey, there! This is [your name]. Please leave me a message with your name, number, and the reason you’re calling. If you also tell me [insert random fact] I’ll be sure to move you to the top of my call list. Have a great day!”

Random facts could include their favorite movie, vacation spot, candy, or television show. Regardless of what you choose, it will surprise your caller and more than likely make them leave a message if they were considering hanging up.

6. Prove your attentiveness to voicemail:

“Good morning. You’ve reached the voicemail of [your name]. Today is [date]. Please leave me a message with your name and contact information. Oh, and here’s my motivational quote of the day: [read quote].”

1. Look back

One nice thing about history? It’s full of workers, artists, and intellectuals who might justifiably be called freelancers – since the salaried “standard” is a relatively new invention.

When I’m feeling particularly irritable and uninspired, I think about the many many polymaths who have reshaped history. These were people who didn’t particularly fit any mold – who bounced around from interest to interest – and as a result, revolutionized their fields of study.

In our modern world, there’s a lot of pressure to specialize; there is also an undeserved stigma around changing (or blending) careers.

Next time some close-minded stranger looks askance when you explain that you’re a graphic designer/poet/freelance editor, you just think about Leonardo DaVinci. Would that artist/scientist/engineer/mathematician have cared what Joe Shmoe thought? Or would he have laughed in his face and kept on painting/designing/theorizing?

2. Look forward

So you are not quiiiiite where you want to be in your career, at the moment. That’s okay!

Look at people you really, really admire – whether inside or outside of your industry. Start probing around their life stories. Read a couple of biographies. But do so with a particular focus; search for the setbacks.

Look for when they stumbled. Look for when they failed. Look at the obstacles they had to overcome. Imagine how people must have looked at your heroes, when they explained their aspirations. Think about how easy it would have been for them to have been discouraged, too.

So many of the MOST inspirational people have overcome significant barriers to become successful (that’s why they’re inspirational). When you’re looking for a freelance hero, imagine how biographers may tell YOUR story; with the hindsight of history, even your biggest obstacles may someday look like tiny speed bumps on your path to success.

Don’t abandon faith. Look at Oprah, for Pete’s sake; she came from almost nothing and now look at her. LOOK AT OPRAH!

3. Look around

All around you, freelancers are making a living.

Yes, many of them grapple with self-doubt and uncertainty from time to time. Many of them struggled, at first. Many of them had to juggle a few jobs when just starting out. Many of them that may seem “successful” to you are constantly working to become better, to land bigger clients, to expand their network – and would laugh if you complimented their “success.”

Trust me, if they can make a living freelancing, YOU CAN PROBABLY DO IT, TOO. Most freelancers are not uniquely lucky (although some luck helps). They’ve just worked very, very hard. They’ve moved past some mistakes… and they’ve probably gotten some good advice on the way.

If you’re looking for freelance heroes, start looking at your peers. If you see somebody land an enviable gig, congratulate them… and ask them how they did it! Life’s lesson #495 is don’t question the coach.  I’ve learned many lessons through the years and the ones that stick with me as I get older are all the coaches that I questioned.  Some worth my breath and some not.  If you’re child is in early elementary and you’re judging the coach its probably not so good.  Look at yourself and improve on your personal skills.  If you’re in high school and your looking for the next level the threshold seems worthwhile.

5. Other Skills

Freelancers come in many shapes, sizes and skills.  If you’re a musician, singer, social media wiz, artist, selfie photographer, web developer, website creator and many other areas that are in high demand.

I’m a very big proponent of activity, labor and discipline. In fact I devoted one of the five major pieces of the life puzzle to the subject of activity and labor. But now, let me add another key word to the labor equation—skillful. Yes, skillful labor.

We need the skills to help build our family’s dreams, the skills to stir up an enterprise and make it successful. We need skills to build equities for the future. We need skills of all kinds.

How about this: skillful language. If you just talk to your family, you can hold them all together, but if you skillfully talk to your children, you can help them build dreams for the future. You can’t be lazy in language—it costs too much. What if you meant to say, “What’s troubling you?” and instead you said, “What’s wrong with you?” That’s too big of a mistake.
